This policy explains what personal information Go Football Academy collects about parents, carers and the young players we coach, why we collect it, how we look after it and what your rights are. We have written it in plain English. If anything is unclear, please ask us.
Who we are
Go Football Academy is a youth football coaching business based in Leighton Buzzard, Bedfordshire. It is the trading name of Farhan Kharawala, a sole trader. We are the "controller" of your personal information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
For anything about your data, contact Farhan at farhan@gofootball.academy or on 07539 793111.
Children's information
Most of the people we coach are under 18. We only collect children's information from a parent or carer, we keep it to what we need to coach and look after them safely, and we never sell it or use it for advertising. Players aged 13 and over can ask us about their own information, and we will involve their parent or carer.
What we collect
When you contact us or use a form on this website:
- Free trial form: your name, email address and phone number; your child's first name and age; the session you are interested in; and anything you write in the message box.
- Contact form: your name, email address and phone number; your child's age (optional); what you are interested in; and your message.
- Training Finder: your name and email address, and your answers about your child (first name if you give it, age, boy or girl, area, playing level and ambitions, position, goals and how they like to train), plus whether you would like occasional coaching tips and dates.
- WhatsApp, phone or email: whatever you choose to tell us in the conversation.
When your child trains with us:
- Your contact details and an emergency contact.
- Your child's name, date of birth or age, and any medical conditions, allergies, injuries or additional needs you tell us about, so we can keep them safe.
- Attendance, progress notes and development plans.
- Performance data from wearable boot sensors used in 1-2-1 sessions (such as touches, passes, sprints, speed and distance covered).
- Payment records (amounts, dates and what was paid for). We do not see or store your full card or bank details.
- Photos and videos of sessions, only where you have given consent.
- Records of any safeguarding concern, accident or incident.
When you visit this website: our hosting provider processes technical information such as your IP address and browser type to deliver the site and protect it from spam and attacks. We do not use analytics or advertising cookies.
How we use it, and our lawful basis
- To reply to enquiries and arrange trials and bookings. Lawful basis: taking steps at your request before entering a contract, and our legitimate interest in answering questions about our coaching.
- To deliver coaching, development plans and performance reports. Lawful basis: performing our contract with you.
- To keep players safe, including medical information, emergency contacts and accident records. Lawful basis: performing our contract and our legitimate interest in player welfare. For health information, your explicit consent, or protecting a child's vital interests in an emergency.
- Safeguarding. Lawful basis: our legitimate interest and, where it applies, a legal obligation or the substantial public interest in safeguarding children. We may share concerns with the FA, the local authority or the police without consent where a child is at risk.
- Taking payments and keeping accounts. Lawful basis: performing our contract and our legal obligations (for example to HMRC).
- Sending coaching tips, session dates and offers. Lawful basis: your consent. You can opt out at any time by replying to any email or messaging us.
- Using photos or videos on our website, social media or YouTube. Lawful basis: your consent. We never publish a child's full name alongside their image.
Who we share it with
We do not sell personal information. We only share it with:
- Service providers who run things for us: Cloudflare (website hosting, form handling and spam protection), Google Workspace (email and file storage), WhatsApp (if you message us there), the provider of the boot sensor app used in 1-2-1 sessions, and our payment and email providers. They may only use your information to provide their service to us.
- Venue operators, coaches or first aiders working at a session, where they need it to keep your child safe.
- The FA, a local authority, the police or the NHS, where we have a safeguarding concern, a medical emergency or a legal duty.
- Our accountant and HMRC, for payment records.
Some of these providers store data outside the UK, including in the United States. Where they do, the transfer is protected by UK adequacy regulations (such as the UK-US Data Bridge) or the UK International Data Transfer Agreement.
How long we keep it
- Enquiries that do not lead to a booking: up to 12 months.
- Player records, development plans and performance data: while your child trains with us and for 2 years after their last session.
- Payment records: 6 years, as required for tax.
- Accident and safeguarding records: as long as the law and FA safeguarding guidance require, which can be until the child is 25 or longer.
- Photos and videos: until you withdraw consent. We will stop using them in anything new, and remove them from our website and channels where we reasonably can.
Keeping it safe
Your information is held in password-protected accounts with two-step sign-in where available, and only people who need it to coach or look after your child can see it. This website uses an encrypted connection (HTTPS). Website forms are sent by email to Go Football Academy and are not stored in a database on the website.
Cookies
This website does not use analytics, advertising or tracking cookies, so we do not show a cookie banner. Our fonts are hosted on this website, not loaded from Google. Videos only load from YouTube (using its privacy-enhanced mode) when you press play, and YouTube's own privacy policy then applies. Our spam protection on forms may check your browser without setting tracking cookies.
Your rights
You have the right to:
- get a copy of the information we hold about you or your child;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete information, where we do not need to keep it;
- object to, or ask us to limit, how we use it;
- withdraw consent at any time, for marketing, photos or health information;
- ask us to send information you gave us to you or another organisation in a common format.
To use any of these rights, email farhan@gofootball.academy. We will reply within one month and there is normally no charge.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. If we make a significant change that affects you, we will tell you by email.
